Job Purpose:   Responsible for coordinating administrative and clerical duties related to tax services.  Responsibilities include but are not limited to: 
  • Coordinating the tax prep and e-file process, including logging returns as information is received, scanning source documents, tracking and monitoring returns through the process, assembling and mailing completed returns, tracking electronic filing and monitoring due dates to ensure returns timely filed or timely extended.
  • Coordinating tax services, including monitoring due dates, assembling reports and ensuring CRM tasks are up to date. Scanning tax related documents and tax returns, including overseeing others who help with the process and ensuring quality and accuracy.
  • Coordinating tax planning and tax preparation client lists with advisors and tax team to ensure the list is complete and accurate, including updating CRM as needed for tax prep and/or tax planning services codes.
  • Preparing and mailing quarterly tax estimate reminder letters, including internal check requests and processing.
  • Preparing and mailing annual tax organizers, including rolling over tax locators from one year to the next. Coordinating and responding to tax notices.
  • Other clerical duties related to tax planning, and tax return prep services.                                              
Essential Job Results:   
  1. ASSURES THAT ADMINISTRATIVE REQUIREMENTS OF TAX PREPARATION AND TAX PLANNING ARE COMPLETED.  Processing paper and electronically filed tax returns, tracking tax return deliveries and monitoring progress of e-filed returns, coordinating receipt of signed engagement letters, monitoring progress of returns and planning through the process and other clerical duties related to tax planning and return preparation.
  2. SSEMBLES TAX RETURNS.  Assembles tax returns in accordance with tax assembly checklist.  Verifies totals and appropriate documentation.  Supervises and trains other tax assemblers, responsible for quality and completeness of all assembled tax returns.
  3. SCANS SUPPORTING DATA. Responsible for accurate and timely scanning client tax support documents into Egnyte or client drive folders and communicating receipt of new documents with preparers.
  4. MONTIORS TAX DUE DATES TO ENSURE TIMELY FILING OF RETURNS, REPORTS AND/OR EXTENSIONS.  Tracks tax and accounting projects in CRM to ensure they are moving through the system and getting completed timely.  Runs CRM reports and works with managers to ensure items are being addressed on a timely basis.
  5. PREPARES AND COORDINATES TAX RELATED MAILINGS.  Prepares and mails quarterly tax estimate reminder letters, annual tax organizers and other client mailings, as needed.  Updates quarterly estimate log.
  6. CONTRIBUTES TO TEAM EFFORT.  Interacts with other employees to promote smooth workflow, identify, and resolve problems.

Education and/or Experience:                                                    
Associate's degree (A. A.) from a two-year college or technical school; or a minimum of four years related experience and/or training; or equivalent combination of education and experience.
Language Skills:                                                             
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.  Ability to write reports, business correspondence, and procedure manuals.  Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
Mathematical Skills:                                                     
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions and percentages. 
Reasoning Ability:                                                         
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.  Ability to deal with problems involving several concrete variables in standardized situations.
Computer Skills:                                                            
To perform this job successfully, an individual should have knowledge of accounting software; Database software; Internet software; CCH Tax Planning and Preparation Software is a plus; Microsoft Suite (outlook, excel, and word is a must).  CRM is a plus. 
Certificates, Licenses, Registrations:
Valid driver’s license
Other Skills and Abilities:                                                           
Must be able to organize and sort client’s records and files. Must understand basic accounting principles and practices.  Must understand tax law, tax forms, tax filing requirements and deadlines and be able to do tax research. Must be able to use a PC proficiently, including tax software.  Familiarity with investment reports from custodians is desirable.

The employee must maintain complete confidentiality regarding client names, financial information and all other matters.  The position requires overtime, as necessary, during tax season.
